As part of an exciting chapter of Active, we are seeking an experienced, new Operations & Office Coordinator to become a central part of the team. Reporting directly to the General Manager -Operations Finance and working closely with the workshop and design teams, you will have the scope to introduce practical systems, strengthen day-to-day operations and see the impact of your work across the business.
The role
This is a hands-on role supporting the day-to-day operations of both the office and workshop. Rather than stepping into a fixed way of working, you will have the opportunity to bring structure, introduce practical processes and become a trusted point of contact for customers, suppliers, workshop staff and management. Your responsibilities will include:
- Managing incoming/outgoing calls, emails and general customer enquiries
- Liaising with customers, suppliers, workshop personnel and management
- Supporting workshop scheduling, work orders and job tracking
- Completing data entry and maintaining accurate records, files and databases
- Collecting timesheets and supporting payroll administration
- Preparing invoices, progress claims and other financial documentation
- Raising purchase orders and reconciling supplier invoices
- Ordering materials, parts, consumables and office supplies
- Completing stocktakes, monitoring stock levels and maintaining inventory records
- Supporting compliance, training, licence and WHS administration
- Coordinating office upkeep, including stationery and kitchen orders, shared-area tidiness and general maintenance
- Travelling off site as required to collect materials, supplies and other business items
- Identifying and implementing practical improvements to systems and processes
What we are looking for:
- Experience in operations coordination in a blue-collar environment such as a workshop, manufacturing, automotive, transport or similar hands-on environment
- Experience competently conducting invoicing, timesheet submission, purchase orders, stock and inventory management with relevant software systems
- Good Microsoft Office suite skills and the ability to learn new systems
- A practical, organised approach with strong attention to detail
- Clear communication skills and confidence working independently
- A current C class driver’s licence
